PolicyBot in Docs & Slides

PolicyBot is the InPolicy reviewer for whole documents. Where the browser extension catches issues as you type, PolicyBot reviews a draft or finished document end to end: share it with policybot@inpolicy.ai, and within about a minute PolicyBot leaves comments and suggested fixes inline — then removes its own access when it’s done.

How it works

1. Share the document with policybot@inpolicy.ai as an Editor.
2. PolicyBot picks up the share within seconds and posts an “I’m reviewing this” comment at the top.
3. It checks the document against the policies published in your tenant and, within about a minute, updates that comment with a summary and adds a comment on each passage that may violate a policy — plus suggested edits where the platform supports them.
4. When it finishes, PolicyBot removes its own access from the file.

Each guide has the exact sharing steps for that app. The summary comment, the severity and confidence labels, and the policy links work the same everywhere.

Why share as an Editor

Add PolicyBot as an Editor (Microsoft 365: Can edit) rather than comment-only:

• It lets PolicyBot clean up after itself. When the review finishes, PolicyBot revokes its own access — through the Drive API on Google, or by removing the file from its Shared with me on Microsoft 365. With comment-only access on Google, it can’t remove the share itself: it stops reviewing and moves the file out of its own view, but the share lingers until you remove it by hand.
• It’s the reliable choice on Microsoft 365. Word and PowerPoint Online expose the full review flow to editors. The comment-only “Can review” level works where it exists, but it’s limited to newer M365 tenants — so Can edit is the safe default.

If you’d rather PolicyBot never hold edit access, Google Docs and Slides still work with Commenter — each guide spells out the trade-off.

Good to know

• Only published policies are checked — drafts don’t generate comments.
• Share with the exact address, policybot@inpolicy.ai. A look-alike address won’t reach the bot.
• PolicyBot reviews only what you directly share — not everything inside a shared folder or drive.
• Re-share to re-review. That busts the review cache so the next pass sees your latest edits, and PolicyBot skips any finding it has already left an open comment for.
